Spanish Ministry Administrative Assistant
Job Description
To provide administrative and volunteer support to projects and volunteer teams within the Spanish Campus that
further NPHX Church’s efforts to REACH & EQUIP people with the Gospel of Jesus Christ.
QUALIFICATIONS FOR THE POSITION (SKILLS, EXPERIENCE, & EDUCATION)
• 1–2 years of administrative experience.
• Experience in scheduling, organization, communication, and other administrative areas.
• Basic skills in social media management and content posting.
• Familiarity with slide editing software (ProPresenter, Canva) and basic audio or podcast editing is a plus.
• Highly organized with strong attention to detail and accountability for quality.
• Ability to manage multiple tasks simultaneously.
• Proficiency in software such as Excel and Word.
• Preferred experience with Planning Center Online and ProPresenter, and social media.
• Spanish fluency required; bilingual (Spanish/English) preferred.
• Highly relational with the ability to interact well with a variety of people and circumstances.
• Excellent verbal and written communication skills.
• Ability to effectively manage conflict or sensitive situations.
• Coachable and a strong team player.
• Self-motivated with a commitment to excellence.
• Ability to appropriately handle confidential information.
• A committed Christian living a life of obedience with beliefs consistent with NPHX Church’s statement of faith.
• Must be, or be willing to become, a member of NPHX Church.
SPECIFIC JOB RESPONSIBILITIES (Evaluation criteria based on these responsibilities listed on review forms)
• Support the Spanish Campus Pastor with scheduling meetings, email communication, calendar organization,
and general task coordination as needed.
• Manage expense reports, PEX card purchases, receipts, and purchase orders.
• Maintain and organize ministry documents and digital records (PCP, PCO, PCG, Google Workspace, etc.).
• Provide administrative support to key volunteer leaders as directed.
• Assist with scheduling and sending communications to Sunday volunteers.
• Help prepare materials and supplies needed for volunteer teams.
• Support ministry team leaders with basic administrative tasks (forms, schedules, and reminders).
• Maintain the database of first-time guests and help track follow-up steps.
• Support volunteers assisting in guest follow-up and retention strategies.
• Input and update programming details for Sunday services and events in Planning Center (PCO).
• Provide logistical support for key events such as Easter, Mother’s Day, Father’s Day, Thanksgiving,
Christmas, monthly breakfasts, and group events.
• Collaborate with other ministries—especially NPHX Kids and Students—to coordinate event planning, family
onboarding, and engagement as we work together across ministries.
• Serve as a point of contact and support for volunteer teams during Sunday services and special events,
helping maintain smooth operations and volunteer engagement.
Facility & Supplies Organization
• Keep ministry rooms organized, clean, and stocked with necessary materials.
• Communicate supply needs in advance and assist with preparation for ministry spaces.
• Assist with basic social media posting and coordination to promote Spanish Campus events and ministry
• Support media needs such as editing slides for Sunday services and helping prepare
