Job Summary To serve New Life Church by supporting the staff that care for individuals and their families in diverse times of crisis and need. Duties and Responsibilities Assist Congregational Care Pastor and Congregational Care team to respond to individuals needing care, connections, and resources. Attend New Life events as scheduled, serving in any capacity asked. This is included but not limited to Kids Camp and Desperation Conference. Serve in Family Ministries on Sunday mornings, getting to know families, often rotating between Family Connect and New Families, or in other capacities as needed. Attend Core staff meetings Coordinate and schedule meetings for Congregational Care pastor as needed for one on ones, church ministry, etc. Create reservations in CCB for informal small groups and Congregational Care meetings. Update and add rooms and resources as necessary. Prepare room day of meeting. Coordinate with volunteer team to write Grief Books and Volunteer Birthday cards, enter into CCB. Weekly restock drop cards, care booklets, pens, and contact cards at Family Connect, Information Desk, Connect Central, Resource/Table Box. Track inventory, order and update as needed. Weekly check mail at the information desk and mail room. Weekly enter names into “card” excel sheet for volunteers, enter finished cards into CCB. Daily check and respond to Congregational Care email. Assist with tracking care, connections and resources provided by the Congregational Care Pastor. Data entry into CCB profile notes and process queues to keep reports up to date. Weekly update and add new volunteers into Volunteer Spreadsheet Run weekly and monthly Care reports from process queues and Care notes. Systemize ongoing reports in a yearly binder. Enter monthly receipts into Nexonia and submit Congregational Care Pastor’s monthly credit card statement. Create and submit volunteer reimbursements, creating Purchase Orders when necessary. Update Congregational Care Ministry Overview as care, connections, and resources change. Assist with update of Congregational Care Handbook Order and reprint drop cards, booklets, flyers, and contact cards as needed. Ensure all created current documents are in One Drive folder including all new drop cards (PDF) and group website images in proper folders Order books and resources as needed for the office. Monitor and order office supplies, snacks and water. Order promotional materials as needed (t-shirts, pens, stickers, bookmarks, etc.) and occasional office supplies. Deliver cards and packages to the post office weekly and purchase stamps/postage as needed. Organize office supplies and various storage areas as needed. Work in coordination with Congregational Care Team to prepare for and set up Congregational Care events, trainings, meetings, etc. Attend Congregational Care events or other ministry events as needed, serving with set up, speaking as needed, and assisting with clean up. Create and upkeep a Congregational Care Administrative Assistant “Standard Operating Procedures” manual. Rotate with Congregational Care team in the evenings to check in on weekly Congregational Care small groups Rotate with Congregational Care team to write for the Congregational Care volunteer newsletter. Attend Congregational Care events or other New Life ministry events as needed, serving with set up and assisting with clean up Assist with church wide events. Demonstrate ongoing financial support for the ministries of New Life Church. Attend regular staff meetings, ministry staff meetings and additional meetings when requested. Work in close association with the entire staff to build and maintain a strong team environment among our staff and complete the work necessary to fully serve and support the ministries and events of New Life Church. Cooperate with the Congregational Care Pastor to perform any other duties when asked to do so. Knowledge, Skills, and Abilities Strong computer skills, including familiarity, experience and ability to navigate and produce documents within a variety of software applications (MS Office Suite, databases, MS Outlook) and strong Internet researching skills. Strong organizational and office skills. Ability to read and carry out written and oral instructions. Ability to perform basic arithmetical functions. Good analytical skills with the ability to extract data and draw conclusions. Ability to verbally communicate effectively and tactfully at all levels. Personable and helpful attitude. Ability to handle constantly changing priorities and demands. Excellent grammar and written communication skills. Ability to handle multiple tasks and to complete projects with little guidance. Able to utilize equipment such as scanners, copiers, calculators, fax machines, etc. QualificationsEducation and Experience Education: High School Diploma or GED. Experience: Minimum two years administrative support, general office or related work experience. Working Conditions and Requirements Congregational CarePhysical Demands: Regularly required to sit and occasionally required to stand and stoop, kneel, crouch, or crawl. Must be able to frequently lift and/or move up to 10 pounds and occasionally life and or move up to 25 pounds. Substantial movements (motions) of the wrists, hands, and/or fingers. Close visual acuity to is necessary to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
