BSSM Missions Program Coordinator

This role reports to the BSSM Missions Mobilization Manager.
The Missions Program Coordinator serves as a key administrative and relational support for both students and Trip Leaders participating in BSSM Short-Term Missions. This role ensures the smooth execution of missions trips by managing communications, maintaining compliance with non-profit regulations, coordinating logistics, and supporting the development of student participants and Trip Leaders alike. The coordinator works alongside the BSSM Missions Manager to orchestrate and execute the sending out of 100+ Leaders and 1000+ Students to over 25 nations annually.
The ideal candidate is highly organized, goal-driven, and strategic—capable of managing complex timelines, meeting deadlines, and creating systems for process improvement. They should be skilled in administrative tasks and able to track data in spreadsheets to coordinate logistics for international and domestic trips.
The Coordinator works collaboratively with the Missions team to uphold excellence in planning, training, and equipping for students to be sent out to the ends of the earth.
Hours: 32 hours per week up to 40.
Salary: $18.00 per hour
Duties and administrative tasks include the following:
Administrative & Organizational Tasks
- Use of Google Drive to manage spreadsheets, documents, and surveys.
- Maintaining and updating the Trip Leaders Resource website.
- Maintain and track student fundraising progress and data in spreadsheets.
- Schedule and coordinate meetings
Communication & Coordination
- Manage daily and monthly communications with Trip Leaders (emails, updates, deadlines).
- Coordinate announcements and Missions resources with BSSM admins
- Coordinate with each Trip Leader for trip info (name, description, dates, co-leaders).
- Debrief with leaders post-trip and document insights for future use.
- Daily point of communication to students throughout the school year via missions@bethel.com
- Send timely updates, reminders and resources across key platforms (email, my.bssm.net, student resource pages).
Trip Planning & Support
- Collaborate with BSSM Mobilization Manager on trip and leader approvals.
- Confirm trip info and logistics with Trip Leaders before departure.
- Oversee travel packet assembly (insurance, emergency info, apps, etc.).
- Assisting and supporting Trip Leaders through the Emergency Line while in the field.
Training & Development
- Coordinate and organize Trip Leader meetings and extra student trainings
- Provide ongoing training, coaching, support, and development of Trip Leaders.
Website & Tech Support
- Understand and support use of the my.bssm.net site (troubleshooting, tech help, creating trips, etc).
- Work with Web Development Team on fixes and improvements.
Policy and Compliance
- Approve or decline exception requests from Trip Leaders.
- Understand and help maintain compliance with 501(c)(3) non-profit donation guidelines.
Requirements
- Having completed and graduated from BSSM.
- Experience in a fast paced administrative role for at least 1 year.
- Strong interpersonal and communication skills; ability to lead with empathy, vision, and clarity while also maintaining department and IRS policies and guidelines.
- Highly organized with the ability to manage multiple leaders and timelines simultaneously.
- Experience leading short-term mission trips preferred, but not required.
- Flexibility to jump into projects that benefits Bethel Missions Vision as a whole.
- Spiritually mature and aligned with the mission and values of the organization.
